Asure Software implements hot desking program for health service mobile workers

by Brianna Crandall — May 30, 2014—Asure Software, a leading provider of workplace management software solutions, recently announced that its AsureSpace Workspace Manager solution helped the U.K.’s National Health Service Greater Glasgow and Clyde implement a hot desking program to support workforce agility that is expected to save on real estate leasing costs.

Workspace Manager is a Web-based workspace management and resource scheduling software solution for shared desks and other hoteling workspaces. With an easy-to-use, graphic-based user interface, the software handles room booking, desk booking, visitor management and parking space management, with add-on services like catering, vehicles and audiovisual equipment.

Based in Glasgow, Scotland, the NHS Greater Glasgow and Clyde (NHSGGC) is the largest health board in the United Kingdom, providing health care to more than 1.2 million people. The organization’s overall objective in deploying a workplace scheduling software system was to convert NHSGGC traditional workspaces into a hot desk system that accommodated employees’ work demands and their desire to be more agile. Workspace Manager was first piloted with a small group within the organization and then rolled out to other facilities.

“More than 250 NHSGGC agile working staff currently use Workspace Manager to reserve workspace in the locations where they need to conduct daily business, and the organization will soon upgrade and expand software to serve its newest building project, a hospital that will feature 130 hot desk locations,” explained Nigel Clarke, vice president and general manager, EMEA and APAC. “Hot desking is a growing trend in the UK because it helps organizations accommodate agile employees and save money on leased space.”

“Asure’s account management team has been very helpful as we deployed the Workspace Manager, and our employees were quick to adopt the new solution,” said Brian Gracie, IT support manager at NHSGGC. “A key measurement for success is that our employees actually use the system. The roll-out was a success, employees find the software easy to use, and it has become our de facto resource scheduling system for employees.”
